Effective Date: 07/01/2025
1. Introduction
This Privacy Policy describes how FireBot™, Inc. and our affiliates (“FireBot”, “we”, “us”, “our”) collect, use, and share information about you. This policy applies to personal information we collect when you use our website, https://www.firebotsuppression.com/ (the “Site”), apply to become a reseller, use our Reseller Portal, or otherwise interact with us. It also applies to information collected from our smart fire suppression devices (our “Services”), which are sold to end-users through our network of independent resellers.
Note to End-Users: If you purchased your FireBot™ product from a reseller, that transaction was with the reseller directly. You should review the reseller’s privacy policy to understand their data practices. This policy applies to the data collected by the FireBot™ device itself and any related applications we provide.
Your privacy and trust are paramount to us. We are committed to processing your personal information responsibly and in compliance with applicable data protection laws. We encourage you to read this policy carefully to understand your rights and our practices. By using our Site or Services, you agree to the collection and use of information in accordance with this policy.
2. The Personal Information We Collect and How We Use It
We collect personal information to provide and improve our Site and Services. The types of information we collect depend on how you interact with us.
2.1. Information You Provide to Us
Identified Data Collection Points and Categories
The personal information processed by FireBot can be categorized into three primary streams, each with distinct collection points and implications for privacy.
- Information You Voluntarily Provide
This category includes personal information that individuals actively and knowingly provide to FireBot when interacting with its website and business channels.
- Contact & Inquiry Data:When individuals use the “Contact Us” form or reach out to dedicated email addresses for sales or investment inquiries (sales@firebotsuppression.com, invest@firebotsuppression.com), FireBot collects identifiers and contact details such as name, email address, and phone number, along with the content of the message itself.1
- Reseller Application & Transaction Data:The “Become A Reseller” application process is a significant point of data collection. To evaluate and onboard resellers, the company collects business and personal contact information, including full name, business name, address, phone number, and email address. For processing application fees or other payments, payment card and billing information is collected and processed by our third-party payment partner, Stripe. 10
- Reseller Portal & Account Data:The website includes a “Login” function for the Reseller Portal, which is designed exclusively for use by authorized resellers.2 To create and maintain a portal account, resellers provide a username (often an email address), a password (which should be stored in a hashed format), and other professional details necessary for managing the reseller relationship.
- Community & Comment Data:The existing privacy policy notes that if users leave comments on the site, the system collects the data entered in the comments form, the visitor’s IP address, and their browser user agent string. This collection is primarily for the purpose of spam detection. The policy also mentions that an anonymized string (a hash) created from the user’s email address may be provided to the Gravatar service to see if they are using it, which could make their profile picture publicly visible next to their comment.4
- Information Collected Automatically (Website Interaction)
This category comprises data gathered passively from an individual’s device and browser as they navigate and interact with the FireBot website.
- Cookies and Tracking Technologies:The current policy acknowledges the use of cookies for saving comment information.4 A modern website operation also uses a broader range of cookies and similar technologies for analytics (e.g., to understand site traffic), advertising (e.g., marketing pixels to measure campaign effectiveness and enable retargeting), and essential website functionality.
- Analytics Data:We use third-party services, including Google Analytics, Google Search Console, and Bing Webmaster Tools, to measure traffic and user interaction on our website. 11 These services collect information sent by your browser or mobile device, including your IP address and how you interact with our site, to help us analyze and improve our services. 13
- Device and Connection Information:Like most websites, FireBot’s servers likely log standard technical information, including the visitor’s IP address, browser type and version, operating system, device type, and language settings.
- Third-Party Embeds:The website extensively uses embedded videos hosted on YouTube.5 When a visitor interacts with these embedded players, their browser communicates directly with Google’s servers. This means Google can collect data about the visitor (such as their IP address and viewing activity) in accordance with its own privacy policy, independent of FireBot’s.
- Information from Your FireBot™ Smart Devices
This is the most critical and sensitive category of personal information processed by FireBot. The product’s core value proposition as a “smart” device 2 necessitates the collection and transmission of data from the device installed in an end-user’s home. The current privacy policy fails to address this crucial data stream.4 The nature of a connected safety device means this data is inextricably linked to an identifiable individual and their household, revealing sensitive information about events and activities within a private space.
- Device & Network Identifiers:To function, each FireBot device and its associated wireless gateway 3 must have unique identifiers, such as a serial number, MAC address, or other proprietary ID. These are linked to the end-user’s account. The device’s network IP address is also processed to enable communication.
- Operational & Status Data:To provide assurance and enable remote monitoring (a key feature of any “smart” device), the system must transmit data about its operational status. This includes information like device activation status, battery level, Wi-Fi or LoRaWAN signal strength, connectivity status, results of periodic self-tests, and general system health indicators.
- Event & Alert Data:This is the most sensitive data processed. When the device’s sensors detect a potential fire hazard (e.g., high heat), it generates an alert. The data transmitted would include the sensor readings that triggered the alert, the precise time and date of the event, and whether the fire suppression system was deployed. This information provides a detailed record of a significant safety incident in a person’s home.
- User Configuration Data:If FireBot offers a mobile application or web portal for managing the device, any settings configured by the user—such as notification preferences, device naming conventions (e.g., “Kitchen Stove”), or alert thresholds—would be collected and stored.
The following table provides a structured overview of these processing activities.
Table 1: Personal Data Processing Activities
Data Category | Specific Data Points | Collection Source | Purpose of Processing | Data Sharing |
Contact & Inquiry | Name, Email, Phone, Message Content | Contact Forms, Email | To respond to inquiries, provide customer support, and engage with potential partners. | None |
Reseller Application & Transaction | Name, Business Info, Address, Phone, Email, Payment Info | Reseller Application Form | To process reseller applications and payments, and to manage the business relationship. | Stripe (Payment Processor) |
Reseller Portal Account | Username, Hashed Password, Professional Details | Reseller Portal Login Page | To provide a secure, personalized account for authorized resellers. | None |
Website Interaction | IP Address, Browser/Device Info, Usage Data, Cookie IDs | Website Browsing | To secure the website, analyze performance, improve user experience, and conduct marketing. | Analytics Partners (Google, Microsoft), Advertising Partners |
Device Operational | Device ID, Network ID, Battery Level, Connectivity Status | FireBot™ Smart Device | To monitor system health, ensure proper functionality, and provide status updates to the user. | Cloud Hosting Provider |
Device Event | Sensor Readings, Alert Time/Date, Suppression Status | FireBot™ Smart Device | To notify the user of a potential safety event and provide a record of the incident. | Cloud Hosting Provider |
We collect information that you voluntarily provide to us directly.
- When you apply to become a Reseller and use the Reseller Portal:When you apply to become a reseller, we collect your name, business information, email address, phone number, and address. We use this information to evaluate your application and manage our business relationship. For any payments, we use the third-party payment processor Stripe to collect and process your payment information. 1 The Reseller Portal is designed for use only by authorized resellers, and we collect account credentials (username, password) to provide secure access.
- When you contact us:When you fill out a contact form, send us an email for sales or investment inquiries, or contact customer support, we collect your contact information (such as name, email, and phone number) and the content of your communications. We use this to respond to your inquiries and provide you with the information or support you requested.
- When you participate in community features:If you leave comments on our Site, we collect the information you provide in the comment form, as well as your IP address and browser user agent string to help with spam detection. As disclosed in our previous policy, we may use the Gravatar service, which could make your profile picture public if you have an account with them.2
2.2. Information We Collect Automatically When You Use Our Site
When you visit our Site, we automatically collect certain information about your device and your interaction with our Site.
- Cookies and Tracking Technologies:We use cookies, web beacons, and similar technologies to operate and improve our Site. These technologies help us understand user activity, provide essential features, analyze our Site’s performance, and deliver targeted advertising. For more detailed information, please see Section 3, “Cookies and Other Tracking Technologies.”
- Analytics and Webmaster Tools:We use services like Google Analytics, Google Search Console, and Bing Webmaster Tools to measure traffic and understand how users interact with our Site. 3 These services automatically collect technical information, including your IP address, browser type, and usage data (pages visited, links clicked). We use this information to improve our website and services. 5 The collection and use of this data are governed by the privacy policies of Google and Microsoft, respectively.
- Device and Usage Data:We collect technical information such as your IP address, browser type and version, device identifiers, operating system, and the pages you visit on our Site, including the time and date of your visit and the time spent on those pages. We use this information for security purposes, to analyze trends, and to administer the Site.
- Third-Party Embeds:Our Site includes content embedded from third parties, such as YouTube videos.6 Interacting with this content may allow the third party (e.g., Google) to collect information about you directly, subject to their own privacy policies.
2.3. Information We Collect from Your FireBot™ Smart Devices
This section applies to end-users of our devices. When you install and activate your FireBot™ smart device, it collects and transmits information necessary for the Services to function. This data is linked to your account and is essential for providing the safety and monitoring features of our product.
- Device and Network Information:We collect unique identifiers for your device and its wireless gateway, such as a serial number or MAC address, as well as network information like its IP address and signal strength. We use this to identify your device, connect it to our Services, and provide customer support.
- Operational and Status Data:The device periodically sends us data about its operational health, including its battery level, connectivity status, and the results of routine self-tests. This allows us to ensure your device is working correctly and to alert you to any maintenance needs.
- Event and Alert Data:In the event of a potential fire, the device will transmit critical alert data to our servers, which we then relay to you via notifications. This includes sensor readings (e.g., heat levels), the precise time and date of the alert, and confirmation of whether the suppression system was deployed. We process this highly sensitive information for the sole purpose of providing the core safety-alert functionality of the Service.
3. Cookies and Other Tracking Technologies
Our Site uses cookies, which are small text files placed on your device, and similar tracking technologies to provide and improve our Services. We use them for several purposes:
- Essential Cookies:These are necessary for the Site to function. They are usually set in response to actions made by you, such as setting your privacy preferences or filling in forms.
- Performance and Analytics Cookies:These cookies, including those from Google Analytics and Bing Webmaster Tools, allow us to count visits and traffic sources so we can measure and improve the performance of our Site. 7 They help us to know which pages are the most and least popular and see how visitors move around the Site.
- Functional Cookies:These cookies enable the website to provide enhanced functionality and personalization.
- Advertising and Targeting Cookies:These cookies may be set through our site by our advertising partners. They may be used by those companies to build a profile of your interests and show you relevant adverts on other sites.
We will provide you with notice of our use of cookies, and you can manage your cookie preferences through your browser settings. Some state laws provide residents with the right to opt out of the use of their data for targeted advertising, which may be facilitated by these cookies. Please see Section 7, “Your Privacy Rights,” for more information.
4. How We Share and Disclose Your Information
We do not sell your personal information in the traditional sense of the word. However, we may share your information with third parties in the following circumstances to provide our Services and conduct our business:
- Service Providers:We share information with third-party vendors and service providers who perform services on our behalf. - Advertising and Analytics Partners:As described above, we share information collected via cookies and other tracking technologies with partners like Google and Microsoft who help us with marketing and website analytics. 4 This may be considered “sharing” for cross-context behavioral advertising under California law.
- For Legal Reasons and to Protect Rights:We may disclose your information if we believe it is required by law, subpoena, or other legal process. We may also disclose information to protect the rights, property, or safety of FireBot™, our customers, or others, including to prevent fraud and reduce credit risk.
- In Case of a Business Transfer:If FireBot is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be sold or transferred as part of that transaction. We will notify you of any such deal and outline your choices in that event.
